STANDARD OPERATING PROCEDURES
1. Vacancy Pro & Logistics
1.1. Area Assignments
In your role, you will be designated a specific geographical area for which you will assume responsibility in identifying and gathering information on available commercial, industrial, and retail properties and units listed on Vacancy Schedules within Vacancy Pro.
For instance, if you are assigned the Sandton area, your primary task will be to locate vacant commercial properties within Sandton that meet our specified criteria.
1.2. Accessing Vacancy Pro:

To gain access to Vacancy Pro, please utilize the following login credentials:

1.3. Property Criteria
When utilizing Vacancy Pro, it is imperative to prioritize properties that align with the following criteria:
Retail spaces with a minimum monthly rental of R15,000.
Industrial spaces with a minimum monthly rental of R15,000.
Office spaces with a minimum monthly rental of R30,000.
If, for example, you encounter an industrial property with a monthly rental of R12,000, it does not meet our established criteria, and you should proceed to the next available property.

1.4. Avoiding Duplicate Listings
Following the acquisition of Vacancy Schedules from Vacancy Pro, it is crucial to verify that the properties and units you intend to list have not already been enlisted. This verification should include a thorough search on Propdata and cross-referencing with the Media.Space Schedule. This measure ensures that duplicates are avoided, saving both time and resources.
Communication Tips
When initiating contact with Leasing Manager, Asset Managers, please ensure the following information is confirmed during your initial interaction:
- Vacancy status of the property or unit.
- Property information, including address, size, gross rentals, erf details, and parking bay availability.
- Access arrangements for property viewings.
1.5. Email Etiquette and Calendar Requests
In cases where viewing arrangements are made over the phone with Leasing Managers or Asset Managers, it is important to follow up by creating a calendar event for the property viewing. The event could be titled “Space Viewing – [Property Address]” and include invitations to all relevant parties.
Additionally, prior to commencing your viewing day, organize your schedule to optimize efficiency by visiting properties within the same geographical area, thereby minimizing travel time.
2.1 Listing Properties
Listing refers to the process of officially putting a property up for sale or rent on the market. When a property is listed, it becomes available for potential buyers or renters to consider and inquire about.
2.1. Listing Platform
Our system runs off PropData, the leading online property listing management software system. This is where you will list your properties and gain valuable insights into listing performance and leads.

2.2. Listing Tips
The creation of high-quality property listings is fundamental to our marketing success. Adherence to the following guidelines is imperative:
- Adhere to the Blue Dot System on Property24 when creating listings.
- All listings must display the full property address and a location description.
- All listings must indicate Property Size (GLA) and Erf size.
- Property Type (Retail, Industrial, Commercial)
- Property Grade (C, B, A, AA, P)
- List all the property’s amenities
- Property Furnishings (Garden, Furniture etc)
- Parking Information and number of parking bays available (Underground, Outside/Public Area)
- All listing descriptions must conclude with the Atmosphere Property Group company profile insert.
- Always capture landscape orientation imagery for photos and videos.
- Upload 25+ Images for listings
- Upload 60 Second Video Clip with Atmosphere intro and outro slides and backtrack.
2.3. Descriptions and Headings
As a top commercial property broker, crafting an effective and enticing description for an office space listing is crucial for attracting potential tenants or buyers. A well-written description not only highlights the property’s key features but also provides crucial information that helps prospects envision their business thriving in the space.
2.3.1. Headings
Craft SEO-friendly titles (8-10 words).
2.3.2. Property Description
Introduction
Begin with a concise and engaging introduction that captures the essence of the office space. Mention the location, size, and any distinguishing features. This introduction sets the tone for the rest of the description and should pique the reader’s interest.
Example: “Welcome to [Office Building Name], a prime commercial space located in the heart of [City]. This spacious [square footage] office offers a unique blend of modern design and functional layout.”
Highlight Key Features
List the office space’s standout features. These can include amenities, architectural elements, technology infrastructure, parking availability, and more. Focus on features that set the property apart from others in the market.
Example: “Features include high-speed fiber-optic internet, dedicated parking spaces, 24/7 security, and panoramic city views that inspire productivity and creativity.”
Space Configuration
Describe the layout of the office space. Include the number and size of rooms, open areas, and any special design elements. Provide a clear understanding of how the space can be utilized effectively.

2.4. Video Recording and Editing
For video content creation, adhere to the following best practices:
- Switch on all lights and open curtains and blinds in the space.
- Utilize the highest available resolution.
- Record videos in landscape mode for optimal presentation.
- Ensure your camera is set to a wide angle display.
- Strive for a single continuous take to minimize post-production editing time.
- Adjust lighting settings on screen to get a brighter display.
2.4.1. YouTube Posting
Ensuring that each listing includes a linked video is crucial. This is a key component for enhancing the quality score and visibility of our listings, setting them apart from those of our competitors.
2.4.2. Video Recording
- Choose the highest resolution available on your device, preferably 1080p (Full HD) or 4K if supported. Always record in landscape mode.
- Select the frame rate that suits your content. Higher frame rates (e.g., 60fps) are ideal for capturing fast-moving action, while 24fps can provide a more cinematic look.
- Ensure proper lighting, audio clarity, and stable camera angles.
- Record multiple takes if needed to achieve the best possible quality.
2.4.3. Video Editing
- Use video editing software like Capcut to enhance the visual and auditory elements of the video.
- Enhance your video with background music which is copyrighted.
- Add graphics (intro and outro splash) to prompt the brand and ensure consistency.
- Thumbnail Creation – Use an image that best showcases the property, ideally an external picture of the building.

- Write SEO-friendly video titles.
